Connect WhatsApp and Start Messaging
This guide will help you connect your WhatsApp Business account, create message templates, and send your first message to customers.
Before You Start
A New Phone Number
You need a phone number that has never been used on WhatsApp or WhatsApp Business before. This will become your official business messaging number.
Facebook Business Account
If you do not have one, you can create it during the setup. It takes just a minute.
10 Minutes of Your Time
The entire setup takes about 10 minutes. Once done, you are ready to message customers.
Connect Your WhatsApp Business
Follow these steps to link your WhatsApp to Dolphin CRM.
Open WhatsApp Module
What to do:
From your dashboard, click on WhatsApp in the menu. You will see a Connect Now button. Click it.

A Facebook login window opens.
Login with Facebook
What to do:
Enter your Facebook email and password. If you are already logged in, it will skip this step.
What you see:
A Facebook login page asking for your credentials.
You are taken to the business account selection screen.
Select Your Business Account
What to do:
Choose your business account from the list. If you do not have one, click Create New and follow the simple steps.
What you see:
A list of your Facebook business accounts or an option to create a new one.
Your business account is selected and highlighted.
Add Your Business Page
What to do:
Select the Facebook page connected to your business. This links your WhatsApp to your business identity.
What you see:
A list of your Facebook pages with checkboxes.
Your business page shows a green checkmark.
Add Your New Phone Number
What to do:
Enter the new phone number you prepared. This number will receive a verification code via SMS.
What you see:
A phone number input field with country code selector.
You receive an OTP on your phone. Enter it to verify.
Complete the Setup
What to do:
Click Finish Setup. Your WhatsApp Business account is now connected to Dolphin CRM.
What you see:
A confirmation screen with a Finish button.
You see a success message and your WhatsApp status shows Connected.
WhatsApp Connected!
Your phone number is now your official business messaging number. Customers will see your business name when you message them.
Create Your First Message Template
Templates are pre-approved messages you can send to customers anytime.
Go to WhatsApp Templates
What to do:
From the menu, go to Content and then click WhatsApp Templates. Click Create New Template.
What you see:
A list of your templates with a Create New button at the top.
Name Your Template
What to do:
Give your template a simple name like welcome_message or order_update. Use lowercase and underscores only.
What you see:
A text field asking for template name.
Describe Your Message
What to do:
Write what you want the message to say. For example: Welcome new customers and tell them about our services.
What you see:
A text box where you describe your message in plain language.
Choose Language and Type
What to do:
Select your language (Hindi, English, etc.) and choose if you want text only or text with image.
What you see:
Dropdown menus for language and message type selection.
Generate with AI
What to do:
Click Generate. Our AI will create a professional message based on your description. You can edit it if needed.
What you see:
A loading spinner, then your generated message appears in a preview.
Save and Submit
What to do:
Click Save. Your template is sent for approval. This usually takes a few minutes to a few hours.
What you see:
A success message saying Template submitted for approval.
Template Approval
Templates are reviewed to ensure quality messaging. Most templates get approved within a few hours. You will see the status change from Pending to Approved.
Send Your First Message
You have two ways to reach your customers.
Send to One Person
Open any lead or contact from your list.
Click the WhatsApp button.
Choose your approved template.
Click Send. Your message is delivered instantly.
Send to Many People
Go to Campaigns and click Create New.
Select which customers should receive the message.
Choose your approved template.
Send now or schedule for later.
Chat with Your Customers
After Your Customer Replies
Real conversations happen here
When a customer replies to your template message, you can chat with them normally. Open the WhatsApp Chat section to see all your conversations in one place.
Good to Know
You must use an approved template for the first message. Once the customer replies, you can send normal messages without templates. This is how WhatsApp keeps messaging safe and spam-free.
